Share and Track Completion
How it works
Create a link
Pick a topic and tap + New Team Link. You get a link and a QR code, good for ten days.
Your team signs
They tap the link, review the topic, and enter their name and job title. No app, no password, no account.
You get the record
A report fills in as people sign, showing who signed, their job title, and the date.
What you can do with the report
- Print it or save it as a PDF. The pages your team was shown are included, so one file is the whole record — who signed and what they were shown.
- Download it as a CSV if you keep your training records in a spreadsheet.
- Send a read-only link to a general contractor, an insurer, or your boss. They can view, print and download it, and they cannot change anything or see the rest of your account.
- Fix a mistake. Remove a row if somebody signed twice or typed the wrong name.
Frequently Asked Questions
The Basics
What does Share and Track Completion do?
Create a link for a safety topic or safety meeting video and provide it to your team. Employees will review the safety topic or video and sign their name. You get a report showing who signed and when.
Do all employees need a separate account or login?
No. They tap the link, type their name and job title, and they are done. Nothing to install, no password, no account to create. Only you need a membership.
What do employees have to fill in?
Full name and job title are required. Employee ID is optional. Nothing else.
Can I use a QR code instead of sending a link?
Yes. Every Team Link has a QR code behind a "Show QR code" toggle, so it stays out of the way until you want it. Show it and let people scan it.
The Team Link
How long does the Team Link last?
Ten days from when you create it. The expiry date is shown directly under the link.
Can I extend a Team Link?
No, but creating a new one takes a single tap and starts a fresh ten days. The old report stays exactly where it is.
Can I share the same topic with two different teams at once?
Yes. Each tap of "+ New Team Link" creates its own meeting with its own report. Nothing is locked to one team at a time, and the reports never mix together.
I lost the link. Where do I find it again?
The Team Link is on the topic page, in the Share and Track Completion section, for as long as it is active. It is also inside the report itself.
What happens when the link expires?
The link stops accepting sign-offs. The report does not go anywhere. It stays in your history permanently, exactly as it was on the day it expired.
Can someone forward my link to people outside my company?
Yes. Anyone who has the link can sign it, and there is no check on who they are. The link works like a clipboard you pass around rather than a login, so treat it the same way you would treat a paper sign-in sheet left on a table.
Does this prove my employee actually attended the training?
No. This system will record what someone typed. It does not verify identity so anyone with the link can type any name. This is the digital version of passing a clipboard around the safety meeting.
Does this system email my team, or send reminders?
No. There will be no emails, reminders, or notifications sent out through this system.
Reports
Where are my reports?
Two places. On the topic page, under the topic you shared. And on your dashboard, under Shared Topics, which lists everything you have ever shared, newest first.
Can I send a report to my boss, our GC, or our insurer?
Yes. Open the report and use the read-only link. Whoever you send it to can view, print, and download it. They cannot change anything, and they cannot see the rest of your account.
Someone signed with the wrong name or signed twice. Can I fix it?
Yes, you can edit your reports if someone made a mistake. Open the report from your members area and remove the row. It disappears from your copy and from any read-only link you have already sent.
Two of my employees have the same name. What happens?
If two people have the same name ensure they both fill in the Employee ID field, which will be different for each, so they both get credit for reviewing the safety topic or video.
Can I get the report on Excel?
Yes. Every report downloads as a CSV.
Does the report show what was actually covered?
Yes. Each report includes the topic pages your team was given. On screen they sit behind a toggle, and when you print or save as PDF they are always included. One file is the whole record, both who signed and what they were shown.
The completion date seems wrong?
Dates on screen are shown in your own time zone. A sign-off late in the evening is already the next day by UTC, which is why a raw date can read a day late elsewhere. The CSV keeps the exact timestamp if you need the precise moment.
How many people can sign one link?
Around 500 per meeting. If your team is larger than that, create a second link.
Your Data
How long do you keep my reports?
As long as you are a member, everything stays. Reports do not expire and names are not stripped out over time. Only the Team Link expires, never the record.
What happens to my reports if I cancel?
Reports are kept for 90 days after your membership ends and are then permanently deleted. Export anything you need before you cancel.
Can I delete a report?
Yes. Deleting a report also deletes its Team Link, so nobody can add to it afterwards. It disappears from your account immediately and is permanently removed after a short recovery window.
Who can see my reports?
Only you, signed in to your account, and anyone you personally send a read-only link to. Other members cannot see them, and a read-only link only ever shows that one report.
When Something Goes Wrong
This topic has no Share and Track Completion section.
Curated topics cannot be shared this way. If you tap share on one you will get a message saying so rather than a broken link.
It says, "please sign in again".
Your session expired. Refresh the page, sign in, and the section comes back. This is also what you will see if you have left the same tab open a very long time.
My team says the link does not work.
Two likely reasons. It is past its ten days, or the report was deleted. Both are fixed the same way, by creating a new Team Link and sending that one.
I tapped share and nothing happened.
Reload the page and try once more. If it still fails, email safety@weeklysafety.com with the topic name and roughly when you tried, and we can see exactly what happened on our side.
Still stuck? Email safety@weeklysafety.com and tell us the topic name and roughly when it happened.
